How Does the Custom Supplement Label Order Process Work?
New to ordering supplement labels? Follow our process from artwork and quotation to proof approval, production, quality check, shipping, and delivery.
Recently, a customer contacted us to order a batch of labels.
Previously, their contract manufacturer had purchased the labels for them, so this was the first time they were ordering directly from a label manufacturer.
Naturally, they asked:
“Can you please explain how your order process works?”
If you are ordering custom supplement labels for the first time, the process is actually quite straightforward.
Step 1: Send Us Your Label Requirements
The first thing we need is some basic information about the labels.
This normally includes:
- label size
- quantity
- material
- finishing requirements
- hand application or machine application
- any special product or storage requirements
If you already have finished artwork, we recommend sending it at the same time.
The artwork helps us understand the design more clearly and often shows details that may not be obvious from a written description.
It also allows us to review the supplement label artwork requirements before quotation or production.
Step 2: Confirm Machine-Application Details If Needed
If the labels will be applied by machine, we normally need some additional information from the filling or manufacturing facility.
For supplement roll labels, this may include:
- supplement label core size
- supplement label unwind direction
- maximum outer roll diameter
These details help ensure that the finished label rolls are compatible with the customer's labeling machine.
If the labels will be applied manually, this step may not be necessary.
Step 3: We Provide a Quotation
Once we understand the specifications, we prepare the quotation.
The price depends on factors such as:
- size
- material
- quantity
- finishing
- number of SKUs
- packing format
If there are several possible production methods, we can also discuss which option is more practical for your quantity and budget.
Step 4: Sample or Confirm the Intended Effect
If the labels are relatively complex, we may recommend making a sample before bulk production.
A supplement label proof or physical sample is especially useful when the project includes unusual materials or special finishing.
If a physical sample is not necessary, we may instead share photos or videos of similar labels we have produced before.
The goal is to confirm that the effect you expect is also the effect we understand.
Step 5: Confirm Shipping Details
Once the label specifications and price are confirmed, we ask for the delivery address so we can calculate the shipping cost.
If you already have your own freight forwarder, that is also fine.
We can deliver the finished labels to the forwarder or logistics contact you designate.
Step 6: Invoice, Payment, and Order Confirmation
After all important details are confirmed, we prepare the invoice.
Once the payment arrangement is completed, the order is scheduled for production.
But printing does not begin immediately.
There is one more important approval step.
Step 7: Approve the Computer Proof Before Printing
Before starting supplement label printing, we send a digital computer proof to the customer.
This is the final opportunity to check important content such as:
- artwork
- text
- size
- barcode
- layout
- important production notes
Only after the customer approves the proof do we begin printing.
This step helps prevent avoidable errors before production.
Step 8: Production and Quality Check
Once approved, the labels enter production.
After production is complete, we check the finished labels against the confirmed specifications.
We also take photos of the finished order and send them to the customer for reference before shipping.
Step 9: Arrange Shipping and Keep You Updated
After confirmation, we arrange shipping according to the agreed method.
During transportation, we provide tracking or shipment updates where available and let the customer know the expected delivery timing.
We also remind customers to watch for the shipment when it is approaching delivery.
The Process Should Feel Simple for the Customer
For someone ordering directly from a label manufacturer for the first time, the process may initially seem complicated.
But the customer should not need to know every printing detail before contacting us.
You can start by sending the information you already have.
Our job is to identify what is still missing, ask the necessary questions, and guide the order through each step.
A good label supplier should make the process easier, not make the customer feel that they need to become a printing expert before placing an order.
